Microsoft Copilot Readiness

Get Your Data and Permissions Ready

Microsoft Copilot works across the files, emails and chats your staff can already see. We help you get permissions, security and licensing in order first, so the rollout is safe and people get value from it.

What Microsoft Copilot is

Microsoft Copilot is an AI assistant built into Microsoft 365 apps such as Outlook, Word, Teams and SharePoint. It can summarise a meeting, draft a reply or pull together information from your documents, using the content a person already has permission to see.

Why readiness matters

Copilot does not create new access, but it makes existing access far more visible. A folder that was technically open to everyone, and that nobody ever found, can suddenly appear in an answer. Businesses that switch Copilot on without checking permissions often discover how much more is shared than they thought.

Readiness work fixes that first: who can see what, how sensitive data is protected and how access is controlled. It also confirms that the licences and settings you need are in place.

Signs your tenant may not be ready

  • SharePoint sites or Teams are open to the whole organisation by default
  • Old projects, shared drives and staff folders have never been reviewed
  • Multi-factor authentication or conditional access is not enforced everywhere
  • Sensitive information, such as HR, finance or client files, is not labelled or separated
  • Nobody is sure who has access to what
  • Staff have no guidance on using AI tools at work

What is not included

Copilot licences are bought from Microsoft or through a reseller and are separate from our fees. Microsoft's licensing and requirements change, so we check the current position when we plan. Building custom AI tools or integrations is scoped separately from readiness work.

What We Deliver

Permissions & Oversharing Review

We find files, sites and teams that are open to more people than they should be, because Copilot can surface anything a user is able to access.

Sensitivity Labels & Data Protection

Where it makes sense, sensitive information is labelled and protected so it is handled appropriately.

Identity & Device Baseline

Multi-factor authentication, conditional access and Intune device compliance are checked, so access to the data is controlled.

Licensing & Rollout Plan

We check what licences you need, who should have them first and how to roll out in stages.

Pilot Group

A small pilot with real tasks shows where Copilot helps and where it needs tuning before wider use.

Staff Guidance & Acceptable Use

Simple guidance on what to use Copilot for, what to check and what not to put into it.

How a Readiness Project Runs

  1. Step 1

    Assess

We review your Microsoft 365 tenant, permissions, identity and device settings, and what staff would use Copilot for.

  2. Step 2

    Fix the foundations

We close the gaps that matter first: oversharing, access controls and data protection.

  3. Step 3

    Pilot

A small group tries Copilot on real work, so you see the value and the problems before a wider rollout.

  4. Step 4

    Roll out and review

A staged rollout with staff guidance, and a review afterwards to see what is working.

Frequently Asked Questions

Do we need to prepare before buying Copilot licences?

We recommend it. Checking permissions and security first avoids surprises and means you only pay for licences once the environment is ready.

Can Copilot see all of our data?

Copilot works with the content each user already has permission to access. That is why reviewing who can see what is the most important step.

How is our data handled?

Microsoft publishes its data-handling commitments for Copilot. We help you review them against your requirements, and set up the permissions and protections on your side.

How long does readiness take?

It depends on the size of your tenant and how much needs fixing. The assessment gives you a plan and a timeline before you commit.

Will you train our staff?

We provide simple guidance on what Copilot is good for, what to check and what to keep out of it, and we can support a pilot group while they learn.

What does it cost?

Readiness work is priced per project. The proposal after your free assessment sets out the scope and price. Copilot licences are charged separately by Microsoft.
